MEETING THE HIGH STANDARDS OF DBS

The Disclosure and Barring Service (DBS) plays a crucial role in the UK, conducting over seven million checks annually to ensure people working with children or vulnerable adults are thoroughly vetted. Given the importance of this task, DBS demands perfection from its suppliers, including long-term partner SPS.

SPS doesn't just manage documents for DBS; it hosts a highly secure, dedicated area to protect its sensitive documents. The service level agreements (SLAs) are set at an impressive 99.9% for processing 12,000 monthly applications, a challenge SPS embraces wholeheartedly.

SECURING AND PROCESSING APPLICATIONS

To protect DBS documents, SPS set up an enclosed area at its secure Digital Transformation Centre (DTC) accessible only by vetted staff, monitored by ID cards and 24/7 CCTV.  SPS prepares, scans, and validates documents before sending the data to DBS for checks. After processing, the data returns to SPS for secure printing and direct dispatch of unique DBS certificates to applicants.

Since 2013, SPS has successfully supported the DBS application process and, in 2021, renewed the contract, allowing for direct collaboration. This closer relationship has enabled SPS to digitize DBS’s extensive paper archive, improving data retrieval and offering a more cost-effective storage solution.

A DECADE OF DEPENDABILITY

Over the past ten years, DBS has relied on SPS’s consistent performance, with SPS regularly exceeding the 99.9% SLA. This reliability ensures that all seven million applications are processed accurately, providing peace of mind to DBS.

Ian Johnston, Executive Director for Disclosure Operations at DBS, said: “Employers rely on DBS to provide precise, timely and high quality information so that they can ensure safe, appropriate staffing for a vast range of essential roles. SPS offers high quality, secure and accurate services that effectively meet our standards and the needs of our customers.”

Since the 2021 renewal, SPS and DBS have explored new projects to enhance the application process. SPS has since secured a more reliable and cost-effective paper supplier for certificate printing for example, passing those savings onto DBS. As they continue to make improvements, DBS trusts SPS to deliver on its promises, ensuring the safety of children and vulnerable adults across the UK.
